What is Record Retrieval? The
process of retrieving records or other materials from varied providers through a
written authorization or subpoena request.
- The Retrieval Process
MCS handles the complete process of obtaining, photocopying and delivering
records. To gain access to the records, MCS utilizes a written client
authorization or, if permitted by law, a court
subpoena. MCS will issue your request, advance any fees, and obtain a
certified copy of the materials you requested. Here’s how it works:
- Submit your requests to MCS:
You can do this via mail, email, fax, phone or through our website at the
MCS Link. The choice is yours.
- MCS Issues your requests to
the providers via:
- Claimant Authorization request – A consent form that is signed by the
patient allowing the release of information.
- Subpoena Request - MCS will prepare the subpoena and notice of
deposition; notify all interested counsel; contact the provider of records and
serve the subpoena.
- Customer Service Follow Up:
Our call center associates are fully trained to understand the retrieval process
and your company’s requirements. We will issue fee advances to the provider and
make any special arrangements necessary to retrieve your materials as quickly as
possible.
- Materials are obtained: Our Quality Control department checks the materials and provides you with our
MCS Quality Guarantee to ensure completeness and accuracy.
- Billing: We offer
different billing options to our clients so they can choose the method that best
suits their office. Billing for our services can be directed to the requestor
or a third party for ease of processing of invoices. In addition, MCS has the
capability of delivering all monthly invoicing electronically. We also have the
ability to receive payments via Electronic Funds Transfer.
- Delivery of Record: MCS
delivers bound copies, on high quality bond paper, along with the Certification
of Records Custodian and a MCS Quality Guarantee to ensure completeness and
accuracy. Or, MCS can scan your records and provide them to you on a CD in Adobe
PDF, Group 4 TIFF format or a format of your choosing. MCS also features the
ability to be your records host. With our
Records Repository, we can manage your documents and distribute them to
other interested counsel at your request. It is a great feature for Toxic Tort
and Class Action Suit clients.
- MCS Link
The MCS Link is a valuable resource that comes at no additional expense to our
clients. It provides you with an interactive platform to review your orders and
communicate with MCS 24 hours a day / 7 days a week. It is a tool that is
provided to you in ADDITION to your dedicated customer service contact and
Account Manager. You may use “The Link” in the event that you need to know the
status of your requests after normal business hours or if you simply just want
to “check in” and see how the process is going. You may also use the link to
submit your requests online.
